Every Payroll System Speaks a Different Language. PayKonnect Translates.

PayKonnect's transformation engine ingests, maps, enriches, and delivers data across APIs, databases, CSV, XML, fixed-width flat files, PDFs, and POS/timekeeping workflows — connecting any payroll system to any recordkeeper regardless of format.

Technical Overview

Format-agnostic transformation engine that ingests data from any format used in the payroll-to-retirement ecosystem, applies configurable field mappings and business rules, and delivers output in the target system's required format. Handles character encoding differences, date format variations, field-length truncation, missing-field defaults, PDF data extraction, and POS/timekeeping data conversion.

The Pain Point This Eliminates

Every payroll system emits data differently. Every recordkeeper expects data in a specific format. Without a transformation layer, each new payroll-recordkeeper pairing requires a custom integration build — creating a combinatorial explosion of integration projects.

The Combinatorial Integration Problem

Every payroll system has its own export format. Every recordkeeper has its own inbound format specification. If you have 100 payroll systems and 80 recordkeepers, the naive solution is 8,000 integration builds. That’s why most payroll-to-recordkeeper integration doesn’t happen — the economics don’t work without a transformation layer.

PayKonnect’s transformation engine is the layer that makes the economics work. You connect to PayKonnect once, define your data model once, and the engine handles the format translation between your system and any recordkeeper.

Every Format in the Ecosystem

APIs — REST/JSON with OAuth 2.0 or API key auth; SOAP/WSDL for older recordkeeper web services. PayKonnect handles both modern and legacy API protocols.

CSV / Delimited files — any delimiter (comma, pipe, tab), any encoding (UTF-8, Latin-1, Windows-1252), any quoting convention. This is the most common payroll export format across the industry.

Fixed-width flat files — legacy COBOL-style layout used by older payroll systems and many recordkeepers’ legacy inbound processors. PayKonnect parses column positions precisely, including handling of packed decimal and sign-included numeric formats.

XML — structured markup including SPARK Protocol variants used in retirement industry data exchange.

Excel / XLSX — for SMB payroll exports and manual upload scenarios where API or file integration isn’t available.

SQL database — direct connection to payroll system databases for enterprise integrations with direct DB access. Read queries and stored procedure calls supported.

PDF — extraction of structured data from legacy system PDF reports; generation of structured PDF output for participant communications.

POS / timekeeping — conversion of point-of-sale and timekeeping system data (Toast, Square, Aloha, Kronos) into payroll-compatible formats for restaurant and hospitality workflows.

Custom Field Mapping and Enrichment

Standard field mapping handles most integrations. Complex client configurations require more:

  • Splitting one contribution field into multiple recordkeeper source types
  • Applying employer-match calculation logic during transformation
  • Combining data from two payroll systems for a merged employer
  • Adding calculated fields based on participant age or years of service
  • Enriching records with data from a secondary source (HR system, benefits platform)

All of this is handled in PayKonnect’s integration design phase and maintained as business rules evolve.
